OBC EVENTS HIRE - TERMS

Terms of Hire Definitions

In these terms and conditions of hire, the following meanings shall apply:


“we, our, us” refers to OBC Events Hire & Rentals
.

“you, your” refers to the named person on the booking.

“hire item(s)” refers to all items and services provided to you by us.


We reserve the right to amend these terms and conditions at any time and you should therefore check them each time you hire items from us.

The terms and conditions applying to your hire will be those in place on the date that you make your reservation.

 

Terms of Property Ownership

All hire items are the property of OBC Events Hire & Rentals and remain so at all times throughout your hire.

By accepting these terms and conditions, you agree that you are solely responsible for the hire items throughout the hire period.

• Hire period is from the set up or collection of the item(s) up until we collect the hire item(s), or the hire item(s) are returned by you.

Payment Terms

To secure your hire item(s) or your booking date with OBC Events Hire, a non-refundable deposit of 30% is due upon booking. Your hire item(s) or your booking date will only be reserved for you once we receive your deposit.

Payment of your deposit is deemed an instruction of your booking. Hire Item(s) may be added, subject to availability. Hire item(s) can also be swapped, up until 6 weeks before the day of your event, but the value must not go below the agreed total hire value. If you wish to remove hire item(s) but do not wish to replace other hire item(s) in exchange, no refunds or part refunds will be applicable.
You will be billed for any additional hire item(s).
The remaining 70% balance is due 6 weeks before the date of hire or your event unless alternate payment options have been agreed upon during the booking stage.

Bookings made 6 weeks prior to your event day will need to be paid in full at the booking stage.

Payment can be made via card or bank transfer. An invoice will be sent to you via email for payment of the deposit once we have confirmed the hire item(s)

Item(s) hired will be entirely your responsibility during the hire period and you will be responsible for any loss or damage. You undertake responsibility for insuring equipment against ‘all-risks’. Any loss or damage to the hire item(s) is to be reimbursed to us by you to the full replacement value. In the event that the damaged or lost hire item(s) is no longer in production, the cost of replacement for an equivalent model will be charged.

In the event of any hire item(s) ordered not being available for hire through circumstances beyond our control, we reserve the right to substitute hire items of similar likeness.

Unless specifically arranged at the time of booking, all standard hires are based on a total of 24 hours.

 

Dry Hire (Collection by Client)

A damages deposit is required on all Dry Hire bookings. The damages deposit is dependent on the hired item(s). The damages deposit is refunded to you upon timely return and inspection for any damages to the hired item(s).

You are responsible for the care, setup and operation of these items once they have left our premisses. We ensure all our hire item(s) are in good working conditions before collection.

If you select customer pick up, please:
• Insure all hired item(s) are securely loaded into your vehicle
• Bring protective material to avoid any damage in transportation.

If hire item(s) have not been returned by the agreed day, then you will be charged an overdue fee of £25 per day for each hire item.

If hire items are returned damaged, then you will lose your full damages deposit. If damage is more than the damages deposit, the additional cost will need to be covered by you.

 

​​Delivery of your hire

All prices quoted are for a full day’s hire including a late/next day collection of your hire item(s) or for the agreed timing for the hired item(s).

Electrical items are PAT tested and all items are checked before and after hire and undergo regular maintenance. We do everything we can to ensure the safety and safe handling of all hire item(s).

We are not responsible for any injury or damage to animals, property, persons, or objects arising from the use of any equipment under hire. We shall not be liable for any direct, indirect, or consequential loss, damage or additional costs that may arise as a result of the use of our hire item(s).

All hire item(s) unless agreed by us in advance are for indoor use only.

You will be responsible for ensuring that any relevant rules, regulations, or statutory provisions governing, or relating to, the use of the hire item(s) are complied with during the period of the hire and we in no way assume liability for the consequences of any non-compliance with our rules, regulations, or statutory provisions

Hire item(s) must not be altered or modified by you in any way. In particular, cables must not be cut or assembled equipment rewired or moved.

Tapes, cords, blue tac, glue etc must not be attached or stuck on to hire item(s) by you. In addition, no modification or alteration by a 3rd party is allowed by you. If this is found to be the case, you will be charged with the full cost of repair or replacement, whichever is deemed necessary by us.

Throughout the period of hire, we reserve the right to repossess the hire item(s) if any of the clauses in this contract are deemed to have been broken.

We have the right to refuse a booking to you if we feel the hire item(s) are not suited to the purpose of your hire, or if you, your company, or your event contradicts our company ethos.

If the full balance is not paid by the day of your event/hire, we hold no responsibility to provide the hire item(s) and hold no liability in this circumstance.

Transportation and accommodation charges may apply depending on how far we have to travel to the location of your event.

For hire item(s) provided within a 15 mile radius of Tilbury, Essex; travel fees are included in the hire cost. For events outside this area, there is an additional travel fee of 50p per mile for the delivery to; set up and the return journey to collect the hire item(s).

There will be an extra charge for events and hire deliveries to areas within the congestion and ULEZ areas.

Where there is no suitable parking there will be an extra charge.

It must be stated during the booking stage:
• The floor level which the event is going to take place i.e. basement level, ground floor, first floor etc.
• If there is a suitable lift for heavy equipment that we can use.
• If there is no lift how many steps are there to the event room.
• If there is the availability of a ramp.

An extra charge will be added for venues that do not have suitable lift access for heavy hire equipment.

 

If you need to cancel your booking

At OBC Event Hire, we understand that sometimes things don't go to plan, for this reason we offer a fair cancellation policy which is listed below:

Event over 6 months - Full Refund of deposit
Event within 3-6 months - 50% Refund of deposit
Less than 3 months – No refund
